Revenue and Expense Deferrals for Sage Accpac ERP helps companies with the amortization of maintenance and service related contract revenue and expense amounts over the life of the contract. Companies get the advantage of compliance with the Public Company Accounting and Investor Protection Act of 2002 (also known as the Sarbanes-Oxley Act of 2002). Although not specifically covered under the Act, non-public entities are also finding that bankers, investors, and acquisition candidates are now conditioned to expect increased transparency and real-time disclosure, effectively placing a greater accounting and reporting burden on companies who are not legally obligated to comply with the Act. Revenue and Expense Deferrals can be configured to process transactions from any Sage Accpac ERP module, including 3rd party SDK applications, as long as they post their transactions to G/L and they support the Transaction Analysis and Optional Fields Creator module.

Q. Can I have the original invoice number printed on Revenue and Expense
Deferrals reports?
A. Revenue and Expense Deferrals reports can print information that is available in Sage Accpac ERP GL module. So in order to print the original invoice number, the transaction originating module (AR, OE or rd party application) must be configured such that it sends the invoice number to a GL field, typically
a 3 to either Description or Reference.
Q. Can I hold the deferral process from recognizing by a specified period; say a
month, after a transaction is amortized?
A. Revenue and Expense Deferrals amortizes transactions as soon as they are posted to GL. As to
recognition, it only starts from the "Defer From" date specified in deferral optional fields. So if your
invoice date is September 1, 2006, but you want to start recognition from October, then while entering
the originating transaction you must specify October 1, 2006 as the "Defer From" date.
Q. Can I put some transactions on hold such that Revenue and Expense Deferrals
does not process them until they are manually released?
A. In its current version, Revenue and Expense Deferrals does not support putting transactions on hold.
Support for an "On Hold" feature is planned in a future version of RD.
Q. Can I recognize deferred amounts based on actual receipt from the customer?
A. In its current version, Revenue and Expense Deferrals cannot recognize amounts based on external events, like a cash receipt. Recognition schedules are created based on deferral optional fields values and are then processed periodically. Support for conditional recognition is planned in a future version of RD.
Q. Do I need to re-enter transaction details in Revenue and Expense Deferrals in
order to have them processed?
A. No. Revenue and Expense Deferrals picks new deferred transactions in GL automatically. All you need to
do is to make sure that transactions you enter in originating Sage Accpac ERP modules are posted all the
way to GL and have correct values in relevant deferral optional fields. Revenue and Expense Deferrals
will create deferral transactions automatically based that information.
Q. Does Revenue and Expense Deferrals (RD) process transactions from Sage
Accpac ERP financial and operational modules?
A. Yes, Revenue and Expense Deferrals can process transactions originating from any Sage Accpac ERP module, including transactions from 3rd party applications that post to GL and support optional fields.
Q. How do I change deferral amounts, after they have been processed by Revenue and Expense Deferrals (RD)?
A. You simply need to create an adjustment transaction in Sage Accpac ERP (like a Credit Note or an Adjustment) and make sure that the transaction sends deferral related optional fields to GL. Once the adjustment transaction reaches GL, it will be processed similar to the original transaction, thus affecting amortization and recognition amounts in each period.
Q. How do I configure Revenue and Expense Deferrals (RD) to process transactions from other Sage Accpac ERP modules or from 3rd party applications?
A. Revenue and Expense Deferrals requires that specific optional fields are present in GL transactions. Based on the information in those optional fields, RD decides whether transactions must be processed and how recognition schedules must be created for them. As long as Sage Accpac modules or 3rd party applications can send those optional fields to GL, their transactions can be processed by Revenue and Expense Deferrals. For details about optional fields required by RD, please refer to the user guide or the on-line help.
Q. How do I configure Revenue and Expense Deferrals (RD) to process transactions originating from Sage Accpac ERP AR or OE modules?
A. Revenue and Expense Deferrals comes pre-configured to process AR and OE transactions. Once you fill-in the required fields in the RD Options form, RD configures OE and AR automatically to let them send the necessary information to GL. RD then processes new entries in GL and creates appropriate deferral entries.
Q. I have an invoice dated September 30, 2006 for a service contract valid from
August 1, 2006 to July 31, 2007. When Revenue and Expense Deferrals processes this invoice,
will it post the August 2006 part of revenue in August or in September? I am normally locking
past fiscal periods, so I prefer not to post anything in August.
A. In its current version, Revenue and Expense Deferrals posts recognized revenue amounts in their respective fiscal periods. So in this example the August part of the revenue will be posted in August and
the respective fiscal period must be unlocked. An option to restrict posting in past fiscal periods is
planned in a future version of RD.
Q. When do the Optional Fields get created?

A. Optional fields in Revenue and Expense Deferrals are created when the Options UI in RD is saved. The reason optional fields are created while saving the options, rather than during activation is that we need to know the names of optional fields, and they are specified in the options. Additional information is available in Appendix A of the User & Administrator Guide available for download at http://www.systronics.com/revenuedeferrals. In addition to the optional fields and settings that are created automatically, one must add optional fields to individual GL accounts that will be used in posting transactions, like sales accounts, cost of goods sold accounts, etc. This is not done automatically because RD does not know which accounts are the sales accounts, which ones the COGS accounts, etc.
